GEARs Board Meeting

Meeting called to order at 6:10pm.

Treasurer’s Report
- Down $189 last month
- Reviewed chart of accounts, revised by deleting duplicates
Committee Reports
- Ride Committee – Mike
- In 2012, increased number of rides members participated in
- Six people became members because they went on rides in 2012
- Committee recommends Recreational Rides Rewards continuing for 2013 (program for members only) – Approved by Board
- Committee would like helmet requirement for rides policy
- Discussion about ride leader being liable
- Not required by League of American Bicyclists
- City requires helmets for children under 16-years-old
- Ride leader has discretion as to whether they will require them on their ride or not
- Use standard League of American Bicyclists waiver
- Tabled for next meeting, request to look at waiver in depth
- Touring Committee (part of Ride Committee as of this meeting)
- Proposal to make this committee part of the ride committee, Mike approves of proposal
- Proposal approved by Board
- General Meeting Committee – Julie
- Meeting will be at Washington Park Cottage, 2025 Washington, February 19th at 6:00pm
- Clam chowder from Newman’s, $25 advertising exchange from Sundance for this next meeting, Neighborhood Services has bowls to borrow
- Potentially have March meeting be an organizational planning meeting
- Outreach Committee
- 13 members currently
- Will be meeting to draft member recruitment plan
- Advocacy Committee
- Membership: Richard Hughes, Allen Hancock, Austin McKimmey, Duncan Rhodes, Emily Swenson, Erick Selker, Josh Newman, Kelsey Moore, Briana Orr, Paul Atkins, Arriving By Bike Paul Moore, Patrick W. Deegan, and Shane MacRhodes.
- Charge: Encouraging public, private, and governmental entities to develop better cycling facilities. Defending the rights and responsibilities of bicycle riders as vehicle operators for transportation, pleasure, and health. Lobbying governmental and public entities in the furtherance of our mission, vision, and values.
- Have not yet decided on time, frequency, or location for meetings
- Need someone from committee reporting back to the Board
- Blackberry bRamble – Duncan
- Committee met on 1/31 at Keystone Café and discussed sponsorship and fundraising, trying to reach out to large donors and have agreed to donate extra funds that come in to Safe Routes to School
- City is willing to fund up to 2k for an event coordinator, Duncan will be meeting with City Events Coordinator to find a coordinator to hire
- Should approach donors before the end of the fiscal year to include bRamble funding in their budgets for next year
- Most necessary volunteer positions filled
- Next meeting not scheduled yet

- Post upcoming meeting information on GEARs website at least 48 hours ahead of time
- Include upcoming meetings in newsletter
- Send out committee meeting notice to google group of each committee
- Report backs from committees at Board Meetings

- Membership: up three so far this year
- Newsletter: three topics so far, send items to include to Mike
- Website: polished up links, waiting for one more bio to put on website, updating ride cue sheets

- April Economides came to town for a bike tour, speaker series talk, and workshop on making business districts more lively by promoting bicycle transportation
American Foundation for Suicide Prevention Ride GEARs Participation
- Saturday, May 4th, at 9am (open registration and raffle ticket sales)
- Row River Trail 3 Miles from Cottage Grover, OR – Start/Finish both at Moseby Creek Parking area
- Paula will email them asking what participation options exist and expected attendance
U of O’s Traumatic Brain Injury Event Participation
- Will connect with Lane County Public Health and UO Bike Program
Row River Suicide Prevention Ride
- Board would like more information
Advertising Ideas
- Sent to Outreach Committee
Special Recognition Day and Award Ceremony for Long Term Members/Volunteers
- Add meritorious service award to annual meeting
Possibility of Executive Director
- Market and membership too small currently for this, would be competing with funds needed elsewhere
- Would help make GEARs a political power
Texas 4000 riders
- Great group of youth riding to raise money for cancer research, coming through town on July 8th
- Board allocates $100 to support potluck and will advertise for organizing riders to meet them
- Board member needs to follow up with Akanksha Verma
Columbia River Crossing
- Need to research status from today’s meeting in Salem and then send out information to GEARs Board
